# Setting up locations

> Define the physical sites your organisation runs, assign doctors to one or more, and use locations to scope rosters, Shift Schedules, and Auto Duty.

A **location** represents a physical site your organisation runs from — for example, *Town Campus* or *Ranipet Campus*. If your team operates out of a single site, you likely don't need locations at all; they're built for organisations that staff more than one.

> [!NOTE]
>
> Locations are independent of [department](https://www.planmyrounds.com/docs/team/departments.md) and [pod](https://www.planmyrounds.com/docs/team/pods.md), two other ways to slice your team.

## Add a location

**1. Open Locations**

Go to **Settings** and select the **Locations** tab.

**2. Start a new location**

Select **Add Location**.

**3. Name it**

Enter a **Location Name**, for example *Town Campus*, and an optional **Description**.

**4. Set the timezone**

Choose a **Timezone** for the location. It defaults to a timezone based on your organisation's country, but set it explicitly for any location that's in a different timezone from the rest of your organisation.

**5. Save**

Select **Create**. The location is immediately available to assign to doctors and to select on rosters, Shift Schedules, and Auto Duties.

> [!NOTE]
>
> A location's timezone isn't just cosmetic: it's what [Calendar Sync](https://www.planmyrounds.com/docs/account/calendar-sync.md) and Auto Duty's notify timing use to work out the correct local time. If your organisation runs across more than one timezone, set this per location rather than leaving every location on the default.

> [!NOTE]
>
> Only admins can add or edit locations.

## Assign doctors to locations

Open a doctor's profile, select **Edit**, and check one or more locations under **Locations**. A doctor can belong to more than one — useful for staff who split time between sites. See [Doctor profiles](https://www.planmyrounds.com/docs/team/doctor-profiles.md).

## What locations scope

| Feature | How location is used |
| - | - |
| **Auto Duty** | A genuine eligibility filter — only doctors assigned to the Auto Duty's location are included in its doctor pool. |
| **Rosters** | Display and filtering only — a doctor doesn't need to share the roster's location to be added manually. |
| **Shift Schedules** | Required when creating one — each Shift Schedule belongs to a single location. |
| **Dashboard and Duty Calendar** | Available as a filter, alongside department. |
