Using the Agent as an admin

See the whole team’s schedule, assign doctors, change shift times, handle leave, and draft duty plans by chatting with the PlanMyRounds Agent.

As an admin, you can use the Agent across your whole organisation. Everything a member can do also works for you. See Using the Agent as a doctor.

Every change still needs you to click Confirm. See How the Agent makes changes.

See the team’s schedule

• “Who’s on nights this week?”
• “Show me the Cardiology schedule for next month.”
• “Which shifts are understaffed this weekend?”

Add or remove a doctor on a shift

• “Add Dr. Patel to Saturday’s Night shift.”
• “Take Dr. Lee off the Day shift on 12 March.”

The Agent handles one doctor on one shift at a time. It checks the change against your roster rules before showing you the proposal.

Admins can’t swap shifts on someone else’s behalf. To move a doctor, remove them from one shift and add them to another, or use Edit Roster.

Change a shift’s start or end time

“Change the Night shift to start at 9 PM.”

A new time applies to every date that uses that shift in the shift schedule, not just one day. You can’t change the time for a single date through the Agent. See Shift Schedules.

Handle leave

• Apply for someone else: “Apply for sick leave for Dr. Khan today.”
• Approve: “Approve Dr. Rao’s leave request for next week.”
• Reject: “Reject the pending leave request from Dr. Singh.”

Ask “Show me pending leave requests” to see what’s waiting. Rejecting also works on leave you have already approved, which removes that leave.

Create a draft duty plan

“Create a duty plan for April for the Medicine team.”

The Agent asks for anything it needs, such as the period, the Shift Schedule, and the department. After you click Confirm, the plan takes about 1 to 2 minutes to generate, and a link to it appears in the chat.

The Agent only creates a draft. Nobody sees it or is notified until you review and publish it yourself.

Add your organisation’s policies

Members can ask the Agent about your organisation’s rules, for example your swap or leave policy. The Agent can only answer from policies you’ve added. Add them in Settings.

Read members’ chats

Admins can open other members’ Agent chat history to read it. You can’t reply in or continue someone else’s chat.
